Board committee (advises the Board)

About the committee

The committee will help ensure the property is properly maintained and that repairs are made, and will recommend that adequate funds be set aside each year for major expenditures and proper maintenance. This will include all areas of the community: clubhouses, fences, roadway services, sidewalks, signs, and underground infrastructure. Utilities: to include water lines, sanitary sewer system, storm sewer system, electrical and solar to our common area buildings. All mechanical equipment, tools, motors, pumps, and all recreational facilities except for the golf course.

The committee will conduct regular inspections of the buildings and grounds and shall solicit recommendations, opinions, and advice on how best to address needed improvements, maintenance, and repairs. The community may engage independent contractors, industry experts, resident experts, staff, or other qualified individuals as necessary to develop the recommended improvement, maintenance and/or repair plans.

The committee may not expend any funds in seeking the above-mentioned recommendations unless specifically authorized by the Board of Directors to do so. The committee shall serve in an advisory capacity to the Board.

What it does

  • Looks into problems and projects in the common areas: clubhouses, pools, courts, roads, wells, water and sewer lines, electrical, solar and landscaping.
  • Invites bids for projects, opens them at its open meeting, checks references, and recommends a contractor to the Board.
  • Keeps an eye on the work once the Board awards it.
  • Backs the free toilet leak test and repair program.

Its role at Palm Hill

An advisory committee appointed by the HOPH Board each year. It studies and recommends; the Board makes all final decisions. A Board member serves as liaison. It does not approve changes to your own home or lot; those go to the Park Manager in writing.

How it can help you

  • Report a problem in a common area to the Park Office first.
  • Toilet leak test: free dye tablets at the Park Office; a leak requires a consent form at the Office for a free repair by a volunteer.
  • Free palm tree: ask the Park Office to put you on the list, first come, first served.
  • Follow a project on the board outside the North Clubhouse, or in the meeting videos and minutes.

When it meets

Second Wednesday of the month, 10:00 a.m., South Boardroom and Zoom, all year. Any resident may attend. To speak on an agenda item, file a request to speak before the meeting. Minutes and recordings are on the Committees page.

Residents: how to reach the Buildings and Grounds Committee and who is on it now are on the Group Contacts and Members page (you'll be asked to log in).
